The Role:

Responsible for the overall management of the Despatch department, ensuring its efficient and safe daily operation of picking, palletising and loading of orders and intake of orders, ensuring all products are despatched on time and adhere to customer specification.

  • Ensuring Despatch targets are met within deadlines, without compromising quality or control of costs.

  • Ensuring good housekeeping is maintained.

  • Ensuring that Quality, H&S and other Company policies are adhered to and liaising with relevant departments to ensure issues are resolved

  • Ensuring all orders are selected in correct stock rotation: communicating with department operatives regarding stock to use and highlighting any issues to the Stock Movement Manager.

  • Ensure all documentation related to the deliveries are correct.

  • Ensure that your reports are fully conversed and hand over of department is covered during your leave.

  • Ensuring no damage to structural fabrication of buildings or company equipment

  • Ensure correct product is selected for relevant customers.

  • Ensuring all delivery notes/ documents reconcile with the picking lists.

  • Assist in stock takes during audits.

  • Ensuring all orders are despatched on time and to the correct specification.

  • Ensuring all vehicles have been loaded 100% accurate with correct and accurate paperwork (CMR, Health Certificates, delivery notes, invoices etc.).

  • Ensuring all information sent by EDI has been received by the recipient.

  • Check daily tracker reports and follow up and close out any issue in agreement with the Supply Chain Manager.

  • Follow up any discrepancies of weight returns.

  • Participating in operational planning with Sales, Production Planning and Transport departments.

  • Update daily KPI reports for Despatch department.

  • Control and monitor debit note issues.

  • Control of customer complaints including management of debit note queries.

  • Assist in intake of stock/ emptying of containers.

  • Checking and adjusting staff levels to ensure the most efficient running of the department.

  • Conducting disciplinary and grievance hearings with departmental staff

  • Approving and managing holiday allowance to ensure adequate cover in the department.

  • Conducting return to work interviews with departmental staff, ensuring completion of a Return to Work Form and forwarding to HR.

  • Reviewing the performance of departmental staff- setting objectives for their training and development, providing support and creating opportunities for their training and development, providing feedback and evaluating the effectiveness and performance improvement.

  • Maintaining good employee relations and promoting equality of opportunity.

  • Hold weekly update meetings with departmental staff to aid department communication.

  • Maintaining H&S and hygiene standards in accordance with Company rules and regulations.

  • Ensure all operatives in the Despatch Department operate material handling equipment, including FLT, pallet trucks and trolleys, in correct and safe manner.

  • Ensuring that all staff and visitors in the department wear appropriate PPE at all times.
